Overview
Zirtual is a U.S.-based company providing experienced remote executive assistants to professionals and entrepreneurs. Virtual Assistants (VAs) are the primary point of contact for clients, handling a wide range of administrative, organizational, and personal support tasks. VAs work independently but are backed by Account Supervisors who provide feedback, guidance, and client support when needed.
Core Responsibilities
VAs at Zirtual deliver high-level administrative and project support, ensuring tasks are completed on time and with exceptional quality. Responsibilities include:
- Project & Task Management: Organizing projects, meeting deadlines, and supporting goal completion.
- Calendar & Scheduling: Coordinating appointments, resolving scheduling conflicts, and maximizing client time.
- Research: Conducting research on travel, events, or business projects, and delivering results promptly.
- Purchasing & Expenses: Handling purchases, expense reports, and organizational tasks.
- Administrative Support: Inbox and calendar management, transcription, correspondence, and data entry.
- Email Management: Sorting, responding, and organizing emails per client guidelines.
- Social Media Support: Basic social media management and marketing assistance.
- Virtual Meeting Support: Preparing agendas, taking minutes, and providing follow-up.
VAs also send weekly usage reports, maintain detailed client profiles, and ensure consistent communication. They are expected to respond to client messages within two hours during agreed-upon business hours (but 24/7 availability is not required).
Performance Expectations
- Clear, proactive communication with clients and Account Supervisors.
- Accurate time tracking of all billable hours.
- Openness to feedback on task quality, time management, and performance.
- Collaboration with Account Supervisors when needing coverage (vacation, illness).
Skills & Attributes
- Strong written and verbal communication.
- Excellent organization, prioritization, and multitasking skills.
- Attention to detail and the ability to manage complex tasks.
- Professionalism, adaptability, and a positive team-oriented attitude.
- Tech-savviness, with the ability to learn and use new software quickly.
Qualifications
- Education/Experience:
- Associate’s or Bachelor’s degree OR 5+ years as an Executive Assistant to C-level executives.
- Minimum of 4 years of administrative experience.
- Preferred: direct experience supporting executives.
- Technical Proficiency:
- Required: Google Suite, Microsoft Office, task management tools (e.g., Trello, Asana).
- Preferred: Slack, CRMs (Salesforce, Hubspot, Zoho), QuickBooks/Expensify, Concur (travel), Hootsuite/WordPress (social media), AI tools.
- Other Requirements:
- Reliable internet, computer, and phone.
- Typing speed of at least 50 WPM.
- Availability during EST or PST business hours, Monday–Friday.
Compensation
- Position is as a 1099 independent contractor.
- Pay is based on a share of the client’s monthly plan.
- Average monthly pay: $1,500 – $3,800, depending on client load.
- After 6 months, revenue split may increase, based on client retention and plan utilization.
